Quarterly core competency reports keep programs on track

Congratulations to Molly Ostrowski, surgery coordinator at Greenville Hospital System, in Greenville, SC. She won free registration to the 4th Annual Residency Program Management Workshop!

The following describe a quarterly report Molly puts together that measures how well the program is doing at meeting the six core competencies.

I am a new coordinator (in the position less than a year).  I strive to do an excellent job, but as I am sure you know, it takes a good year just to learn the duties required to be a good coordinator. I challenge myself often to come up with ways to combine information to ensure that my director is aware of program issues both good and bad.

I make a quarterly report that addresses ACGME requirements and where our program is in  meeting the requirements. If there is a particular area we are not doing well in, I come up with an action plan and put that in my report. Over the next quarter,  I monitor the action plan to see whether it resolved the problem or if the plan needs to be changed.

My director loves this. He has told me several times that he appreciates me putting all the data together for him in one report and monitoring the outcomes. I am now working on my final report for the 2008-2009 academic year. In this report, I will add additional information about the program as a whole and ways we may improve over the next academic year.

Molly sounds like you are doing a wonderful job for your first year, I have been doing this for 9 years now and I still can’t find time to do reports/format like that. I wonder if you would mind sharing your report with the rest of the coordinators.

How do you measure your outcomes? I to would love to learn more about this and see what your report looks like. I am an OB/GYN coordinator and we are in the process of making some changes in our program. This would be the perfect time to start something like this.

Hi Molly: I, too, would love to see the template that you use if you wouldn’t mind sharing. I just started managing 9 fellowships in IM and this would be a very useful tool for me.
