Tracking applicants applying for residency and fellowship at the same time

We offer up to two spots each year for American Board of Internal Medicine (ABIM) Research Pathway, or Short Track applicants. The candidates typically have a PhD and are already on a significant research trajectory. They are basically looking to complete a three-year residency program in two years so that they can get back in the lab.

I have always struggled with coordinating the review and interviews of these particular applicants because they are applying to the residency and the research fellowship at once. They have to meet requirements for both programs. If we don’t accept them for residency, then the fellowship deal is moot as well.

As we review candidates, we have to hold hands with the fellowships and be pretty darned sure we’re going to rank the applicant for his categorical training before the fellowship even invites him to interview with them. You can see how processing these candidates can get confusing!

This year, we’ve created an area on our Web site specifically for those interested in the research fellowship. Short Trackers send us an e-mail from that Web page, indicating their sub-specialty areas of interest. Their e-mails go to me and one of the chief residents. We review applications for entrance to the residency. If we like them, then we forward their applications to the fellowship program director for his review. Should he agree with our assessment, we notify applicants that they are invited for a two day visit. They meet with the residency program on the first day and the fellowship program on the second.

I also set up a tracking spreadsheet so I always know where these candidates are in the application process. I think this will help us be more organized in accommodating these superstars and hopefully provide them with a better visit.
